Legrand CRM provides the flexibility for you to record tasks and appointments/calendar events in multiple ways. To record a new task in the Calendar module simply switch to the Task View and click on the icon as shown.
To schedule an appointment in the Calendar module switch to the Appointment View and click on the icon as shown.
In the Day View, you can record both tasks and appointments. Click on the icon to record a new task. To record an appointment in the Day View, you can right-click on the calendar timeline and select New Appointment. Alternatively, you can double click on the calendar timeline or use the Ctrl + N function to record a new appointment. In the remainder Calendar Views you can only record appointments. Right-click on the calendar timeline, double click on the calendar timeline or use the Ctrl + N function to record appointments.
Recording Tasks
In the ‘Create Task’ window, enter a summary of the task in the text field. Assign a team member who is responsible for the task and define the task’s type. The ‘Type’ drop-down list values can be configured by clicking on the settings icon. The remainder fields are optional. For example, you have the option to link a Company or Contact to the task. Set task reminders, select start dates for the task or use the scale to set the priority of the task. Furthermore, you can set a timer for the task, project code and status if relevant.
All tasks can be linked to an Opportunity, Campaign or Issue. In addition, you can type in any other notes that may be relevant to the task in the free form text field below. After filling in the relevant fields, click ‘SAVE’ or ‘SAVE & CREATE NEW’ to also record an Activity Note, Task, Appointment, Opportunity or Issue.You can also print the task by simply just clicking ‘PRINT’. Alternatively, click ‘CANCEL’ to discard any changes.
Note: After you complete a task, edit the record and click the checkbox next to ‘Completed’ to close the task.
Recording Appointments
In the ‘Create Calendar Event’ window, type a summary of the appointment in the text field. Set a date, time and reminder for the appointment. To set a recurring appointment, select ‘Click to add’. In the ‘Appointment Recurrence’ window, set an appointment time, recurrence pattern and recurrence end. Legrand CRM enables you to create daily, weekly, monthly or yearly recurring appointments with your Contacts.
After you set the appointment date, assign a manager responsible for the task and link the contact scheduled for the appointment. Legrand CRM enables you to invite multiple team members and contacts to be involved in the appointment. In the ‘Participants’ section, click on the icons to link or remove Other Participants and Team Members.
The list values for appointment Type is configurable so that it is relevant to you. Click on the settings icon to populate the drop-down list. Legrand CRM also enables you to attach keywords. For example, you may assign a keywords for appointments that require further action or a follow up.
All appointments created in Legrand CRM can be linked to an Opportunity, Campaign or Issue. Add any notes in the text field below is necessary. After filling in the relevant fields, click ‘SAVE’ or ‘SAVE & CREATE NEW’ to also record another Activity Note, Task, Appointment, Opportunity or Issue.
