How to specify Data Transfer Rules for QuickBooks Integration

Go to the administration panel and click on Accounting > Edit Transfer Rules to define the transfer rules.

Select ‘Get update from QuickBooks to Legrand CRM’ if you want QuickBooks to control customer names and addresses. If you select ‘Get update from QuickBooks to Legrand CRM’, you can not edit the customer name or address in Legrand CRM. You can only receive updates in Legrand CRM from QuickBooks.

Alternatively, select ‘Send update from Legrand CRM to QuickBooks’ to manage customer names and addresses in Legrand CRM and send updates to QuickBooks.

QuickBooks ‘Bill To’ address mapping

Select ‘Map to Legrand CRM ‘Street’ Address’ to map the ‘Bill To’ address field in QuickBooks to Legrand CRM’s ‘Street’ address field.

Alternatively, select ‘Map to Legrand CRM ‘Mailing’ Address’ to map the QuickBooks ‘Bill To’ field to Legrand CRM’s ‘Mailing’ address field.

When you create a customer record in QuickBooks from Legrand CRM, you can control whether you want to include the Company or Contact Name in the QuickBooks customer address. Tick the checkbox to include the Company or Contact Name and continue.

QuickBooks Sales Transactions in Legrand CRM

With our QuickBooks integration, you can control whether you want to show imported sales transactions (invoices) or show ‘Live’ transactions in Legrand CRM. Under ‘SALES TRANSATIONS’, select either option and continue.

Creating Sales Orders in QuickBooks

In Legrand CRM, you can activate a feature to be able to create a Sales Order or Sales Estimate in QuickBooks from Legrand CRM. Select ‘SALES ORDERS’ and tick the checkbox to activate the feature.

Displaying Discounts in QuickBooks

When you create a quote in Legrand CRM, there are columns for the List Price, Discount %, and Discounted Unit Price. However, QuickBooks only has a Unit Price (Rate) column. There is no column for the Discount.

The discounted unit price transfers into the ‘Rate’ column when you convert a quote into a QuickBooks Sales Order. The unit List Price and the Discount provided in the CRM quote do not transfer. However, you can add the discount information in the item description.

To add the discount in the QuickBook’s item description, click the checkbox ‘When a discount is given in the CRM quote, add this information to the item description in QuickBooks’.

Product Updates

Select ‘PRODUCTS’ and tick the check box to disable automatic updates for the Product Cost or Product Price. Once you define the rules, click ‘SAVE’ to complete your changes.
